eStar to be updated Aug. 30; what you need to know about changes

eStar will be updated on Aug. 30 and will require a downtime to ensure the changes are applied (a new eStar module for cardiology, known as Cupid, will also be implemented at this same time). Please review the information below to ensure you and your teams are prepared for the changes you'll see once the update is complete.

2. Prepare Your Teams

§  Designate area for staff to review changes in Playground

§  Review webinar slides (will download at bottom of browser window), executive summaries (see above), and/or discuss talking points in staff or department meetings
 

End Users: How to Prepare

1. Review your Guide to the Galaxy

Each guide contains an overview of the changes based on role. Users should review the Guide to the Galaxy most appropriate for your role (all Guides are stored in Hubbl):

§  Providers

§  Nurses and clinical staff

§  Pharmacy

§  Ancillary clinical staff

§  Non-clinical staff
 

§  Electronic booklets are divided into role-specific bundles

§  Each book begins with a chapter on general changes

§  Primary eStar applications are divided alphabetically into chapter

§  Secondary applications are at the end of the book and divided by area of focus, such as In Basket or Care Everywhere.
 

2. Practice in the Playground 

Spend some time in the eStar playground – find your training log-in on Hubbl.

 eStar & Other System Downtimes on Aug 30; IT Changes Limited in Surrounding Weeks

On Aug. 30, VUMC will experience numerous changes to some of its clinical systems. As part of this work, some systems, including eStar, will be unavailable or have limited functionality throughout the early morning hours. Downtime procedures will be used in all areas during the time period, expected to take place from 1:10 a.m. to 6:10 a.m.

 System changes and implementations include the following:

  • Updates to eStar
  • Replacement of HeartLab with Cupid, a new Epic-based module
  • Implementation of new picture archiving and communications system (PACS) for cardiology, known as Sectra

 During the transition period, applications will not receive updates from eStar over interfaces. These include such applications as:

  • ImageCast
  • Impax
  • Powerscribe
  • ISCV

 Following the transition, the following applications will no longer be available, as they are being replaced by other systems:

  • VWCH Xcelera
  • VWCH Xcelera Connect
  • Cardiology suite

 Specific information will be provided to area and site leaders to follow during downtime procedures.

To support this significant work, IT-related changes will be limited as part of a special events protocol (SEP) that spans Aug. 17 to Sept. 11. 

 

Some Functionality Unavailable in eStar Beginning Aug. 28

Certain functionality in eStar will be unavailable Aug. 28-30, affecting the ability to make changes that customize certain aspects of workflows within eStar. These limitations are necessary, because while colleagues continue to use eStar, the system is updating related data “behind the scenes” to prepare for the update on August 30. These limitations will be in effect from 6 AM on Friday, August 28, until the update is complete on August 30 (around 6:10 AM). 

 Affected functionality includes the following:

  • Applying filters in Chart Review
  • Creating or editing SmartPhrases and SmartLinks
  • Personalizing dashboards
  • Creating, Editing, and Sharing NoteWriter Macros
  • Moving Activities to a Sidebar or Floating Window
  • Creating or editing QuickActions
  • Saving SlicerDicer Sessions
  • Customizing advanced settings for Charge Router Reconciliation and Routed Charges reports
  • Creating or editing new columns for reports
