OnBase upgrade scheduled for Feb 9; eStar scanning impacted

On Saturday, February 9, the OnBase application will undergo an upgrade, which is necessary to prepare for future changes to eStar that will occur in early April 2019. A short downtime window for OnBase only will be required.

The primary use of OnBase at Vanderbilt is the management and storage of documents related to medical center operations, including clinical care and finance. This includes such items as consent forms, historical medical records from providers who do not use Epic, and supporting clinical information.  When documents are scanned into a patient’s record, OnBase is the application that is used to link the document to eStar. 

The upgrade will occur the afternoon of Saturday, Feb. 9, from noon to 2:30 PM. During this time, OnBase will be unavailable for use and specific downtime procedures will be in place.

eStar will be available during the downtime. However, the availability of documents uploaded to and accessed through OnBase will be impacted.

During the downtime:

  • Document availability
    • Most previously scanned documents will be available via StarPanel (which can be accessed through eStar) – please refer to Tip Sheet “Viewing Scanned Documents in StarPanel When OnBase is not Available” for more information
    • Documents that had been scanned using “toaster” scanners will NOT be available during the downtime—dependent work processes will need to be adjusted
  • Document scanning
  • Documents can be scanned using Multifunction Scanning devices, but will not be indexed until the downtime is over
  • Documents cannot be scanned using “toaster” scanners

Colleagues should prepare for the downtime by completing as much scanning as possible before the noon downtime begins. Documents (e.g., operative consents) that might be needed during the downtime may be scanned before noon, but a hard copy of the consent should be available for reference during the downtime.
